These terms apply to bookings for the Forge Bali founding cohort retreat, 9–15 November 2026, Pererenan, Bali, Indonesia ("the Retreat"). Please read them before paying a deposit. By paying a deposit you confirm that you have read and accept these terms.

The Retreat is a package within the meaning of the Package Travel and Linked Travel Arrangements Regulations 2018 ("the 2018 Regulations"). Forge Retreat Ltd is the organiser. You benefit from all rights applying to packages under the 2018 Regulations. Before you book, we will provide you with the standard information form required by the 2018 Regulations.

01Definitions

"We", "us", "our"
— Forge Retreat Ltd.
"You", "guest"
— each person named on a booking.
"Lead guest"
— the person who makes the booking and pays the deposit.
"Departure"
— the Retreat start date, 9 November 2026.
"Booking confirmation"
— the written confirmation we send after receiving your deposit.

02Your booking and when the contract is made

2.1To book, email info@forge-bali.com with your name and room preference. We will send you a secure payment link for the deposit.

2.2A binding contract between you and us is formed when we issue your booking confirmation, normally within 48 hours of receiving your deposit. Until then we may decline a booking for any reason and will refund any payment made.

2.3Places are limited to twelve guests and are allocated strictly in order of deposits received. If the Retreat is full when your deposit arrives, we will refund it in full and offer you first refusal on the next cohort.

2.4All guests must be aged 18 or over on the departure date.

2.5Where a booking covers two people (twin share or king room), the lead guest confirms that they have the authority to accept these terms on behalf of both guests and that they will pass all Retreat information to the second guest.

2.6It is a condition of booking that each guest completes our health and activity questionnaire truthfully before departure (see clause 12).

03Price

3.1The founding cohort price is £2,200 per person for a twin share or shared king room, and £2,500 per person for a private single room. Prices are in pounds sterling.

3.2The price includes the services listed in clause 5.1 and nothing else.

3.3The price you are quoted at booking is fixed. We will not increase it after your booking confirmation is issued, whatever happens to exchange rates, supplier costs or taxes.

3.4Referral credit: if you refer another guest who books a founding cohort place and both bookings complete, you each receive £150 credit against your final balance. Credit has no cash value, is applied to the balance payment only, and lapses if either booking is cancelled.

04Paying for the Retreat

4.1Payments are due as follows:

Payment Twin/king (£2,200) Private single (£2,500) Due
Deposit£500£500At booking
Instalment£850£1,00014 September 2026 (8 weeks before departure)
Balance£850£1,00012 October 2026 (4 weeks before departure)

4.2We will send a payment link ahead of each due date. If a payment is more than 7 days overdue and remains unpaid 48 hours after a written reminder, we may treat your booking as cancelled by you, and the cancellation charges in clause 7 will apply.

4.3Payment methods: bank transfer to Forge Retreat Ltd.

4.4How your money is protected: in compliance with the 2018 Regulations, all payments for the Retreat are protected against our insolvency by trust account held with Monzo Business. If we become insolvent before or during the Retreat, your payments will be refunded, or, if you are already in Bali, your accommodation and repatriation-related services already paid for will be honoured, through this arrangement.

05What is included and what is not

5.1Included: 6 nights at a 5-star boutique hotel with pool in the Pererenan area; airport transfers on arrival and departure within the windows in clause 10.3; daily breakfast; daily sunrise run club; dumbbell and kettlebell strength sessions; one guided breathwork session; recovery facility access at Omni Gym or similar for 3 days of the week; a traditional Balinese water ceremony; the ATV jungle experience, welcome dinner; final celebration dinner; beach club experience; retreat gifts and welcome pack; WhatsApp group and pre-trip guide.

5.2Not included: flights; travel insurance; lunches and dinners other than those listed in 5.1; alcohol; visas and entry costs; spending money; laundry; any activity you book independently; anything else not listed in 5.1.

5.3The named beach club and specific venues may be substituted for venues of equivalent standard where necessary. This is treated as an insignificant change under clause 8.1 unless it significantly alters the main characteristics of the Retreat.

5.4No refund or credit is given for included services you choose not to use, arrive too late for, or leave early and miss.

06If you want to change your booking

6.1Room changes. You may request a change of room type before 14 September 2026, subject to availability. Moving to a higher-priced room means paying the difference; moving to a lower-priced room after booking does not reduce the price already contracted unless we agree otherwise in writing.

6.2Transferring your place to someone else. Under regulation 9 of the 2018 Regulations you may transfer your booking to another person who satisfies all the conditions of these terms (including age, health disclosure and fitness requirements), provided you give us reasonable notice in writing, and in any event at least 30 days before departure. You and the person taking over the booking are jointly responsible for any balance still owing and for our reasonable costs of making the transfer, which we will evidence.

6.3Twin share pairings. The twin share price assumes two guests sharing. If your sharing partner cancels and no replacement is found, you may either pay the difference to the private single rate (subject to availability) or accept a pairing with another same-arrangement guest we propose. If neither is possible, we will discuss options with you, but we cannot hold the twin rate for sole occupancy.

07If you cancel

7.1Cancellations must be sent in writing to info@forge-bali.com and take effect on the day we receive them.

7.2The £500 deposit is non-refundable except where clauses 7.4, 8 or 9 apply, because it secures one of twelve places and is committed to supplier costs on receipt.

7.3Cancellation charges for payments beyond the deposit:

You cancel Refund of payments beyond the deposit
On or before 17 August 2026 (12+ weeks before departure)Full refund
18 August – 14 September 2026 (8–12 weeks before)50% refund
From 15 September 2026 (under 8 weeks before)No refund

7.4These charges reflect our committed costs and the reducing likelihood of reselling a place close to departure. If we do resell your place at full price after you cancel, we will refund what you have paid less the deposit and less our reasonable administration costs. Nothing in this clause affects your right under regulation 12(3) of the 2018 Regulations to terminate on payment of an appropriate and justifiable termination fee.

7.5Unavoidable and extraordinary circumstances. Under regulation 12(7) of the 2018 Regulations, if unavoidable and extraordinary circumstances occur at or near Pererenan which significantly affect the performance of the Retreat or the carriage of passengers to Bali, you may terminate before departure without paying any termination fee. In that case we will refund everything you have paid, including the deposit, within 14 days, but no additional compensation is payable.

7.6Cancellation for any other reason (including illness, injury, work commitments or visa refusal) falls under clause 7.3. This is exactly what travel insurance exists for — see clause 11.

08If we change the Retreat

8.1Insignificant changes. Occasionally we may need to make minor changes before departure (for example, session timing, venue substitutions of equivalent standard, or itinerary order). We may do so and will tell you clearly as soon as reasonably possible.

8.2Significant changes. If before departure we must significantly alter any of the main characteristics of the Retreat (dates, location, accommodation standard, or a substantial part of the training and experiences programme), or cannot fulfil an agreed special requirement, we will tell you without delay and you may, within the reasonable period we specify: (a) accept the change; (b) accept a substitute retreat of equivalent or higher quality if we offer one; or (c) terminate and receive a full refund of all payments, including the deposit, within 14 days. Where the change reduces the quality or cost of the package, you are entitled to an appropriate price reduction, and compensation may be payable where required by regulation 11 of the 2018 Regulations.

09If we cancel the Retreat

9.1Minimum numbers. The Retreat operates with a minimum of 6 guests. If fewer than 6 places are confirmed, we may cancel by giving you notice no later than 20 days before departure (by 20 October 2026), as permitted by regulation 13(2)(a) of the 2018 Regulations. We will refund everything you have paid, including the deposit, within 14 days. No additional compensation is payable.

9.2Unavoidable and extraordinary circumstances. We may cancel if such circumstances prevent us from performing the Retreat, provided we notify you without undue delay before departure. All payments, including the deposit, are refunded within 14 days. No additional compensation is payable.

9.3We will not cancel for any other reason after your booking is confirmed, other than your breach of these terms (for example clauses 4.2, 12.5 or 15).

10Flights, passports, visas and arrival

10.1Flights are not included and are entirely your responsibility. You book your own return flights to Denpasar (DPS). We recommend booking flexible fares and not booking flights until your place is confirmed.

10.2You are responsible for holding a valid passport (Indonesia currently requires at least 6 months' validity from arrival), obtaining any visa or entry permission, meeting any health entry requirements, and paying any associated fees. Check current requirements at gov.uk/foreign-travel-advice/indonesia in good time. We are not liable, and no refund is due, if you are refused carriage or entry because your documents do not meet requirements.

10.3Included airport transfers operate on the arrival day (9 November 2026) and departure day (15 November 2026) within windows we will confirm in the pre-trip guide. If your flight falls outside these windows, or is delayed or cancelled, we will help you arrange an alternative transfer, but the cost is yours. Delayed arrival does not extend the Retreat or entitle you to a refund for missed elements.

11Travel insurance — a condition of booking

11.1You must hold comprehensive travel insurance for the full duration of the Retreat. It is a condition of booking. At minimum it must cover: emergency medical treatment and repatriation in Indonesia; cancellation and curtailment; personal liability; and all Retreat activities, specifically including quad biking / ATV riding, open-water swimming and high-intensity exercise.

11.2Many standard policies exclude quad biking or class it as a hazardous activity requiring an add-on. Check your policy wording before you buy it, not at the airport.

11.3We may ask for proof of cover before departure. If you cannot show adequate cover, we may exclude you from specific activities (with no refund) or, as a last resort, treat the booking as cancelled by you under clause 7.

11.4Arrange insurance at the time of booking so that cancellation cover runs from day one.

12Health, fitness and medical disclosure

12.1The Retreat is a physically demanding training programme designed for people who already train regularly. Every session is scaled individually and every session is optional, but you must make an honest assessment of your own fitness before booking.

12.2Before departure you must complete our health and activity questionnaire fully and truthfully, and tell us promptly if anything changes before or during the Retreat. This includes injuries, cardiovascular or respiratory conditions, epilepsy, diabetes, pregnancy, recent surgery, and any condition relevant to intense exercise, breathwork, heat exposure or recovery therapies (such as ice baths or sauna, where used).

12.3Breathwork and certain recovery practices are unsuitable for some conditions, including pregnancy, epilepsy and some cardiovascular conditions. Our coaches will adapt or exclude specific activities for you where disclosure makes that necessary. Exclusion from an activity on health grounds does not entitle you to a refund.

12.4We are coaches, not medical professionals. If you have any doubt about your fitness to participate, consult your GP before booking.

12.5If you fail to disclose a material condition, or if in our reasonable judgement your participation presents a serious risk to your own or others' safety, we may restrict your participation or, in serious cases, end your place on the Retreat under clause 15, with no refund.

13Participation, risk and safety

13.1Physical training, running on public roads and trails, swimming, ATV riding and travel in Indonesia all carry inherent risks, including the risk of injury. By booking you confirm that you understand this and choose to take part voluntarily.

13.2You must follow the reasonable safety instructions of our coaches, the hotel, and activity operators at all times, use safety equipment provided (including helmets on the ATV experience), and not train or take part in activities under the influence of alcohol or drugs.

13.3You may sit out any session or activity at any time. Tell a coach rather than simply disappearing, so we know where everyone is.

13.4Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud, or for any liability that cannot be excluded or limited under the Consumer Rights Act 2015 or other applicable law.

14The ATV experience and third-party activities

14.1The ATV jungle experience is delivered by a licensed local operator. The operator may require you to sign its own waiver or acknowledgement on the day and to hold a driving licence for driver participation; if you decline or do not meet its requirements, you may ride as a passenger or sit the activity out, with no refund.

14.2Participation in the ATV experience, the water ceremony, the beach club day and any optional excursion is voluntary. Clause 11 (insurance covering these activities) applies in full.

14.3Anything you book independently during free time — surf lessons, scooter hire, tours — is not part of the package, is entirely at your own risk and cost, and we accept no responsibility for it. We strongly advise against hiring scooters or mopeds; most travel insurance will not cover you without the correct licence and helmet use.

15Behaviour

15.1We expect guests to treat each other, our coaches, hotel staff, suppliers and local communities with respect, including observing appropriate dress and conduct at the water ceremony and temple.

15.2If your behaviour, in our reasonable judgement, is dangerous, abusive, unlawful, or seriously disruptive to the group, and it continues after a warning where a warning is practicable, we may end your participation in the Retreat immediately. No refund is payable, you become responsible for your own accommodation and return travel from that point, and you must reimburse us for any damage or costs your behaviour causes.

16Our responsibility to you

16.1As organiser, we are responsible under regulation 15 of the 2018 Regulations for the performance of all travel services included in the Retreat, whether performed by us or by our suppliers (the hotel, transfer drivers, the gym, activity operators).

16.2If any part of the Retreat is not performed as agreed, we will remedy the lack of conformity within a reasonable period after you tell us, unless that is impossible or involves disproportionate cost, in which case you may be entitled to a price reduction and, where appropriate, compensation in accordance with the 2018 Regulations.

16.3You must tell us without undue delay, during the Retreat, of any lack of conformity you notice (see clause 18). Delay in telling us may be taken into account in assessing any price reduction or compensation.

16.4We are not liable for lack of conformity caused by you, by a third party unconnected with the provision of the Retreat which was unforeseeable or unavoidable, or by unavoidable and extraordinary circumstances.

16.5Except for death, personal injury, or damage caused intentionally or negligently, our total liability to you is limited to three times the total price of your package, as permitted by regulation 15(15) of the 2018 Regulations. Where an international convention limits a supplier's liability for a travel service, our liability for that service is limited in the same way.

16.6If you find yourself in difficulty during the Retreat, we will give you appropriate assistance without undue delay, including information on health services, local authorities and consular assistance, and help with communications and alternative arrangements. If the difficulty is caused by your own intent or negligence, we may charge a reasonable fee for that assistance reflecting our actual costs.

17Special requests and dietary requirements

17.1Tell us about dietary requirements, allergies and other special requests at booking or as soon as they arise. We will pass them to the hotel and restaurants and make reasonable efforts to accommodate them, but a request is only guaranteed if we confirm it in writing as a term of your booking.

18Problems and complaints

18.1If something is wrong during the Retreat, tell a coach immediately, in person or via the retreat WhatsApp group, so we can fix it on the spot. Most problems are solvable within hours if we know about them.

18.2If you remain unhappy after the Retreat, email info@forge-bali.com within 28 days of the end date with your booking details and the issue. We will acknowledge within 5 working days and respond fully within 28 days.

19Photography and media

19.1We photograph and film during the Retreat for use in Forge Bali marketing (website, social media, brochures). By booking you consent to appearing in this content unless you opt out.

19.2You may opt out at any time by emailing info@forge-bali.com, and we will not use, or will withdraw where reasonably practicable, identifiable images of you. Opting out does not affect your booking in any way.

20Your personal data

20.1We process your personal data — including health information from your questionnaire, which we process with your explicit consent solely to run the Retreat safely — in accordance with UK GDPR and our privacy policy.

20.2We share your details only with the suppliers who need them to deliver the Retreat (hotel, transfer provider, activity operators, our Bali operations partner) and only to the extent necessary. Health information is shared only where needed to keep you safe during specific activities.

21General

21.1These terms, your booking confirmation and the pre-contract information we provide form the agreement between you and us. They do not affect your statutory rights.

21.2If any part of these terms is found to be invalid or unenforceable, the rest remains in force.

21.3No one other than you and us has any rights under this contract under the Contracts (Rights of Third Parties) Act 1999, except that each guest named on a booking may enforce it.

21.4Any variation to these terms must be agreed by us in writing.

21.5These terms and the contract are governed by the law of England and Wales. Disputes are subject to the jurisdiction of the courts of England and Wales, except that if you live in Scotland or Northern Ireland you may bring proceedings in your local courts.
